This Privacy Policy explains how SimpleFBO ("We", "Us", or "Our") collects, uses, and protects information when you use our website at simplefbo.com and our aircraft scheduling and management application (together, the "Service"). This policy should be read in conjunction with our Cookie Policy.

Information We Collect

We collect information you provide directly, and information generated by your use of the Service:

• Account and profile information: name, email address, phone number, mailing address, and other details you provide when creating an account or completing your profile.

• Aviation records you upload: pilot certificates, medical certificates, and other documents you choose to store in the Service, along with their expiration dates.

• Operational data: aircraft reservations, checkout/quiz results, check-in and check-out (Hobbs) records, squawks, invoices, and other records created as you and your organization use the Service.

• Contact form submissions: information you submit through our Contact Us form, such as your name, company, email, phone number, and message.

• Checkout photos: photos you take with the camera or choose from your photo library in the iOS app, such as Hobbs and tach gauge readings and fuel receipts, uploaded as part of aircraft checkout.

• Push device token: a token for your device so we can send reservation and invoice notifications to the iOS app.

• Diagnostic traces: product diagnostics that include your user id and company id, used to investigate errors in the iOS app.

• Usage information: log and device data such as IP address, browser type, and pages visited, collected automatically as described in our Cookie Policy.

How We Use Information

We use the information we collect to:

• Provide, operate, and maintain the Service, including authentication and account access

• Support aircraft scheduling, checkout/quiz gating, maintenance tracking, and invoicing within your organization

• Respond to inquiries submitted through our Contact Us form

• Send administrative or service-related communications, such as account or booking notifications

• Monitor, secure, and improve the Service

• Comply with legal obligations

Invoices and billing records in the Service are used for record-keeping within your organization. When you pay an invoice in the iOS app, payment opens Stripe Checkout. Stripe processes the card. SimpleFBO does not store payment card numbers.

Who Can See Your Information

Operational data (such as reservations, checkouts, and invoices) is visible to other members of your organization according to their role, because sharing that data across your team is the point of the Service. We do not sell your personal information. We share information with:

• Service providers who help us operate the Service, such as our authentication provider, email delivery provider, and Stripe for invoice card payments, under obligations to protect your information

• Legal authorities when required by law or to respond to valid legal process

• A successor entity in connection with a merger, acquisition, or sale of assets

Data Security and Retention

We use reasonable administrative, technical, and physical safeguards designed to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. We retain account and operational data for as long as your account is active or as needed to provide the Service, and as required by applicable recordkeeping obligations.

Your Choices

You can review and update your profile information from within the Service. In the iOS app, Account → Delete Account permanently removes your login. Your organization may retain operational records it is legally required to keep, such as reservations, logbook entries, and maintenance records. To request access to or correction of your personal information, or deletion beyond that in-app login removal, contact us as described below.

Children's Privacy

The Service is intended for use by aircraft operators, flight schools, flying clubs, and their adult members and staff. It is not directed to children, and we do not knowingly collect personal information from children.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for other operational, legal, or regulatory reasons. We will post the updated policy on this page and revise the "Last updated" date above.
